How long do the VAT people take to send out reclaimed funds after the month end?

Only a week or two, you don't have to wait long.

Depends when you send it off. If you do so in the last week of the month they tend to be very busy as most returns come in then. Can take a full month for it to come back. On the other hand send it in now (for January) and in all likelihood you'd have the money back in less than a fortnight.
