CC - I thought you were the ace homework-spotter?

Have a go yourself, put a summary up here and we will critique it for you. That way you will learn more.
It's definately homework, I had the same question when I did my NVQ 2 in Business Admin.

Unit 6 - Record, Store and Supply Information Using a Paper-Based Filing System.

I could give the answer but that would be pointless. The answer is fairly obvious, I have basically said it in my first answer but you need to expand on that!

I know it's so I can find it again at a later date, however, need some ideas on when I can say I have had to do this.
Well you didn't mention that did you, you just copied the question out word for word.

Only you will know of an occasion when you have done this. We don't even know what type of work you do. Do you have customers or anything, they may have a complaint about an order or something and you need to get the paperwork out to check?
Find yourself a decent mentor at work who can help you or get a decent assessor who can explain the question to you. At the moment you are obviously not competent enough to gain your NVQ and, as they are supposed to prove your knowledge and understanding in relation to your workplace, it would be wrong for someone else to help you gain a qualification that you are not ready for.
