I manage a small team of staff who are required to carry out numerous training courses that last either 1, 2 or 3 years before having to be retaken. Is there a way in Excel, or other free software, to create a spreadsheet etc that would allow for visual warnings at 3 and 1 months prior to course expiry so validations are not accidently missed?

Excel won't register time passing to laert you that it has been x years since it was done.
You could add a column for the renewal date based on x time from the date of the last one, and carry out a regular visual check of that column.
We use an online calendar for ours as that send reminders rather than relying on someone accessing the file.
